Leading College to Significantly Improve Efficiency by Electronically Managing 200,000 Documents Each Year

Cornwall College, the third largest further and higher education college in the UK, faced inefficient paper-based processes, wasted storage space and a slow, manual invoice-approval workflow for some 60,000 purchase invoices a year. To address this, Cornwall College selected V1 Limited’s document management and imaging software, tightly integrated with its Agresso QL accounting system, to electronically store and manage up to 200,000 documents annually—including invoices, statements, academic certificates and personnel records—and to automate invoice capture and authorisation.

V1 Limited rolled out its solution across ten sites, centrally scanning documents into a V1 archive accessible via web browser or through Agresso QL, enabling approvers to view, accept, reject or query invoices from their PCs and automating data capture and verification. As a result Cornwall College can manage about 200,000 documents a year (including 60,000 purchase invoices and over 100,000 non‑financial records), reduce manual data entry and errors, cut photocopying and storage needs, speed approvals and lower administration costs while freeing staff and rooms for core teaching and office use.
