Field Studies Council anticipates savings of £100,000 per annum by automating purchase-to-pay

Field Studies Council, a UK environmental education charity operating 17 sites, was hampered by a paper-based purchase-to-pay process that caused duplicated effort, slow invoice processing, extensive re-keying into Sage Line 500 and the risk of paying invoices twice. To modernise procurement and accounting, Field Studies Council engaged V1 Limited to provide document management and imaging solutions, including DbCapture OCR, DbWebQuery, the V1 authorisation module and BACS-iP, tightly integrated with its Sage Line 500 system.

V1 Limited deployed centre-based scanning, automatic OCR capture, electronic storage and retrieval through Sage/DbWebQuery, automated approval workflows and BACS-iP payments. The implementation reduced manual invoice data entry by up to 90% within three weeks, cut payment transaction costs from 60p to 32p, is projected to save about £100,000 per year, eliminated duplicate payments, sped supplier payments and dramatically reduced paper consumption.
