City College Plymouth making significant savings with V1’s document management integrated into Microsoft Dynamics GP

City College Plymouth, one of the largest further education colleges in the UK, faced manually intensive, paper-based invoice and document handling—date-stamping, batching, manual entry into the accounting system, physical routing for approvals and time-consuming alphabetical filing that consumed valuable storage. To address this, V1 Limited implemented its document management and imaging systems tightly integrated with the college’s Microsoft Dynamics GP finance system.

V1 Limited deployed Kodak scanners, OCR capture, automated invoice verification and an electronic archive linked to Dynamics GP and a web browser interface. The implementation made invoices immediately retrievable, eliminated lost invoices, produced automatic management reporting on invoice status, sped up creditor payments, freed vital storage space and delivered significant annual cost savings; the same V1 solution has since been rolled out to staff travel and subsistence claims to secure further time and space savings.
