Blenheim Palace to use document management to electronically process over 20,000 documents

Blenheim Palace, the ancestral home of the Dukes of Marlborough and a UNESCO World Heritage Site, faced a paper-based accounts payable process that left purchase and sales invoices frequently mislaid, time-consuming to file and retrieve, and strained physical storage capacity. To address this, Blenheim Palace engaged V1 Limited to extend its earlier DbForm work with a document management solution—using DbCapture OCR and V1’s authorisation module integrated with Sage Line 500.

V1 Limited implemented a system to scan and tag over 20,000 purchase invoices a year, automatically capture data with DbCapture, upload records to Sage Line 500, and route imaged invoices to approvers via the V1 authorisation module for one-click approval, rejection or query. The solution gives 17 authorised users instant visibility in Sage, significantly reduces manual data entry and approval delays, frees physical storage, and supports the Palace’s environmental goals by enabling secure electronic archiving and destruction of paper copies.
