Automating Tuition Billing and Collection Increases Revenue, Saves Time, Creates Efficiencies

Spring Branch Independent School District (SBISD), a Houston-area K–12 district serving 35,700 students across 45 campuses, needed a consistent way to bill and collect tuition for pre‑kindergarten students who fell outside state eligibility but could enroll for a fee. With roughly $1.4 million at stake from 16 campuses and about 325 tuition-paying students, the district relied on disparate, manual spreadsheets that consumed staff time, hindered reconciliation and risked lost revenue.

Working with Tyler Technologies, SBISD implemented the previously unused General Revenues module in Munis, integrated EFT/ACH, payroll deduction, GL and AP workflows, and trained campus staff during a phased rollout in 2012. The automated process eliminated duplicate spreadsheets, enabled same‑month overdue identification, increased EFT adoption (149 of 232 invoices in Jan 2012), cut overtime, reduced late payments to about 5% and eliminated nonpayment—saving time, boosting revenue and improving staff morale.
