The Sunnyvale Public Works Department, serving more than 140,000 residents and roughly 100,000 daily commuters in the heart of Silicon Valley, oversees traffic, pavement, landscaping, concrete maintenance and the design and construction of capital projects through its Engineering Division. Rapid growth had left the department dependent on decentralized data, paper-based workflows and manual spreadsheet updates, creating unreliable processes and an increasing administrative burden as multiple projects moved forward simultaneously.
In 2016 the department adopted e-Builder Enterprise to handle all project documentation—RFIs, RFQs, preauthorizations, change orders, submittals and progress payments—allowing engineers and consultants to review and respond directly in the system and ensuring every capital project starts in the platform. The shift cut administrative time by 15%, gave senior staff instant project snapshots and real-time reports, and moved over 1,400 submittals out of file cabinets and into electronic records, saving physical space and improving overall project efficiency.
