The Beauty Clinic, a med spa, faced the challenge of tracking a high volume of inbound and outbound calls from patients and leads within their CRM. They needed a solution to log all calls, including details like duration and recordings, and automatically attach this history to individual patient records. Tribecto Automations was engaged to build a custom integration between their phone system and their Ontraport platform.
Tribecto Automations implemented a solution using Aircall's VOIP system and its Chrome extension for one-click dialing. They built a custom object in Ontraport for call logs and used Zapier to integrate the two platforms. The automation triggers when a call ends in Aircall, pushing the data to create a new log and link it to the correct patient in Ontraport. As a result, The Beauty Clinic's team now has automated, up-to-date call records for improved decision-making, reporting, and quality control, with all communications easily accessible on each patient's timeline.
