ERS, a Lloyds of London underwriting business and the UK’s 6th largest motor insurer, had outgrown its manual purchasing and staff expenses processes. The company needed a better way to control spend, enforce approvals before purchase, reduce supplier sprawl, and replace paper-based expense claims. Touchstone Spend Management was brought in to help modernize the process, using PROACTIS procurement and expenses functionality alongside document imaging and integration with ERS’s existing SunSystems finance system.

Touchstone Spend Management implemented a staged rollout of PROACTIS across ERS, centralizing procurement and finance, automating invoice matching and approvals, and streamlining employee expenses for more than 600 users. The result was significantly improved financial control, faster processing, and better visibility of supplier spend; employee expenses were processed 50% faster, paper handling was reduced, and ERS gained greater compliance, accuracy, and the ability to extend the solution to future acquisitions.
