Maidstone and Tunbridge Wells NHS Trust is a large acute hospital trust serving around 560,000 people with over 5,500 staff across multiple sites. The Trust faced an inefficient, paper-based appraisal process: staff completed hard-to-use Word forms that were often handwritten, scanned and manually logged by HR, leading to lost paperwork, inaccurate reporting, heavy admin burdens and inequitable access to annual development conversations.
The Trust implemented Totara Learn (MTWLearning) via Chambury Learning Solutions, replacing paper forms with web-based, role-tailored appraisal forms integrated with mandatory training records and automated reminders. The new system halved the time needed to reach the appraisal compliance target, achieving 86% compliance within seven months, dramatically cut HR administration, provided real-time accurate reporting, and ensured equitable, higher-quality appraisal conversations across the organisation.
