Choices Housing is a not-for-profit care provider in Newcastle-under-Lyme offering dementia nursing, learning disability care, retirement living and supported living. They struggled with an outdated, single-user Windows 98 spreadsheet system to manage training and Care Certificate compliance, which caused risks like double-bookings, 300–500 manually produced certificates a month, bulky printed handouts, and monthly reporting that took about three days—making training management slow and error-prone.

Implementing Totara Learn gave the training team cloud-based, concurrent access, automated certificate generation, online course materials and attendance tracking, plus built-in reporting and a recertification area for learners. The change cut monthly reporting time by 83% (from three days to half a day), saved roughly 30 workdays a year, reduced absences by 64.64% (594 to 210) saving £12,169.12 (59%), and produced environmental savings (~£985.98 for 180 new starters), while enabling online-only courses and better manager oversight.
