Captain’s Cove Golf & Yacht Club, a self-managed community on Chincoteague Bay with nearly 5,000 member accounts and a $3.4M budget, was relying on accounting software not designed for property management. That left many tasks—billing, collections, owner updates, budgeting and reporting—manual and inefficient, creating operational strain as the community handled roughly 100 property transfers a year.
The association implemented TOPS’ property-management modules (GL, AP, AR, Owner, Budget, Fact Sheet and more), with assisted data migration and training. The system automated billing (generating ~4,800 invoices), streamlined collections and reduced delinquency, simplified owner database updates and election tracking, improved reporting and budgeting, and integrated amenities management (pool passes, fact sheets)—delivering significant time savings and smoother operations.
