Castor EDC is a fast-growing medical-research startup that moved from founder-led, ad hoc hiring to facing the challenge of scaling headcount rapidly while protecting culture and candidate experience. After a Series A and in preparation for a likely larger Series B, the talent team needed to replace informal processes with a repeatable recruitment framework capable of supporting growth from roughly 45 to 90–100 people.

They implemented an ATS (Recruitee) and HR tools (Bamboo), defined a structured three-stage candidate journey (screen, hiring-manager interview, interview day with role-specific assessments), and formalized onboarding with monthly insight days and a Pecha Kucha welcome to preserve cultural fit. Using ongoing feedback (Officevibe), manager training, and new outreach tools (video messaging), Castor has improved candidate communication and onboarding, built scalable hiring procedures, and positioned the company to grow quickly without sacrificing culture or candidate experience.
