A Teamup Calendar Case Study
The Study Skills Center at Imperial Valley College, serving around 400 students per semester, faced a challenge managing their tutoring appointment system. They were using multiple free Teamup Calendar instances, which became unwieldy with browser tabs and could not efficiently scale. The process of manually matching students with available tutors for one-on-one sessions was also time-consuming, taking up to 15 minutes per appointment.
The solution involved upgrading Teamup Calendar to create three centralized "master" calendars to oversee all tutoring operations. Key features implemented included using filters and search with course codes to find open slots quickly, setting up individual sub-calendars for each tutor, and utilizing read-only links so tutors could view their schedules. This reduced the appointment booking time from 15 minutes to just 5 minutes per student, saving significant staff time. Teamup also provided a centralized overview for managers and an embedded calendar on their website for students to view walk-in availability.
