A Taskworld Case Study
RWTH Aachen University’s Institute for Advanced Mining Technologies (AMT) struggled with multiproject management and fragmented communication: their previous SaaS tool (LeanKit) provided per-project boards but no superordinate dashboard, made it hard to track cross-project updates, and required cumbersome onboarding for part-time student assistants. To improve agility, transparency and collaboration in research and teaching projects, the institute adopted the project management and collaboration platform Taskworld in spring 2018.
Taskworld implemented dashboards, threaded comments, task dependencies, guest access and a mobile app to provide central multiproject visibility, easy partner integration and fast onboarding. After a 2–3 month trial the institute went live in summer 2018 and now runs 46 projects on Taskworld (including a conference project with nearly 300 tasks), achieving greater transparency and traceability of decisions, reduced coordination overhead, improved project controlling and use of the platform as an e‑learning tool for student assistants.
