Utility Provider, a German energy company with subsidiaries across Europe, needed to standardize decentralized back-office processes and reduce costs in non-core areas such as mailroom management, invoice processing, travel expenses, and employee records. To achieve this, it partnered with Swiss Post Solutions (SPS) to support outsourcing and digitization initiatives.

Swiss Post Solutions implemented a standardized invoice-processing solution, digitizing incoming invoices and forwarding them to the internal Shared Service Center, while also outsourcing travel expense processing and earlier mailroom operations. The program delivered significant cost reductions of 35%–40%, processed about 1.2 million invoices per year across 12 countries with more than 98% data quality, and reduced travel expense processing headcount from 32 to 8 employees.
