Gesamtmetall, the umbrella association of German metal and electrical engineering employers, had long used IBM Notes and a document management system to archive business email, but the setup became increasingly inflexible and difficult to use. Users complained about the lack of archiving workflows, the separation of email text and attachments into different locations, and the inability to easily group related messages. To address this, Gesamtmetall evaluated alternatives and chose SWING Software’s PDF Converter for Notes.

SWING Software implemented PDF Converter so users could export single emails, multiple emails, or entire folders directly from Notes into individual or collated PDFs, with categories, folders, and hierarchies for easier navigation. The solution also included attachments and email links inside the PDF files, removing the need to search across multiple folders. As a result, Gesamtmetall optimized its email archiving process, resolved a major pain point, and rolled the product out to all 50 employees, who could then reference customers, projects, or cases in seconds.
