West Virginia Department of Environmental Protection Streamlines Gatekeeping Process for New Applications

West Virginia DEP faced a bottleneck in its gatekeeping process as staff were overwhelmed by thousands of monthly permit applications that required manual validation, causing long delays, staff burnout, and mounting frustration among applicants. To address this, the agency partnered with Supervity to deploy a Robotic Process Automation (RPA)–based solution to automate application retrieval and validation.

Supervity’s automation logs into the portal every 15 minutes to extract new applications, validate signatures and data, update the database, assign permit numbers, and notify applicants of errors or approvals. The deployment eliminated manual data-entry errors, saved 9,500 processing hours annually (about 5 FTEs over one year), removed a 90-day backlog, and streamlined communications and permit issuance for West Virginia DEP.
