The University of Minnesota Bookstore, part of the University of Minnesota’s Twin Cities campus, needed a better way to manage complex staff scheduling across multiple departments. With 100-150 student employees on average and up to 300 during peak periods, supervisors were using spreadsheets to track availability, time-off requests, and shift assignments, which created double-booking risks and took a lot of time. The university turned to SubItUp to modernize scheduling and simplify coordination.

SubItUp provided a web-based scheduling platform that let students enter their own availability, helped managers avoid conflicts, and automatically generated fairer schedules across departments. The system also made it easy to add open shifts, swap shifts, and send real-time email or text notifications. As a result, the University of Minnesota cut schedule management time by more than half, reduced errors, and gave supervisors more time to focus on supporting students.
