Arizona State University, the largest public university in the U.S., needed a better way to manage student staff scheduling across its Sun Devil Fitness Complexes. With more than 200 student employees working across 7 departments and 40–50 roles, managers were using paper and spreadsheets, making it difficult to coordinate availability, shift changes, accountability, and hours across multiple supervisors. ASU chose SubItUp to address these scheduling challenges.

SubItUp implemented a user-friendly, mobile-enabled scheduling platform that standardized processes, gave managers real-time visibility, and let students see their combined schedules across departments. The system improved accountability for shift drops, substitutions, and time-off requests, while saving significant time: one schedule that previously took nearly 6 hours now takes 2 hours, and a camp schedule that took 8 hours now takes about 1.5 hours. ASU said SubItUp made scheduling much easier and would be impossible to live without.
