The Sheffield College, serving about 20,000 students across four sites, faced fragmented facilities management after merging formerly separate colleges: the Central Estates Office was running multiple helpdesk and work-order systems, hindering transparency, communication and consistent service for roughly 2,000 maintenance requests a month. The department needed a single, user-friendly interface to standardise processes and give staff and contractors clear, timely information on job status.
The college migrated to SSG Insight’s browser-based CMMS, Agility, to combine helpdesk and work-order management in one tool. Agility lets internal and external users log and track requests, gives contractors secure remote access, builds an asset register and produces performance data for KPIs. The result is improved efficiency, faster access to information, clearer communications and a simplified facilities-management process while handling the college’s ongoing 2,000 monthly work orders.
