DriveTime Automotive Group, Inc., the nation’s largest used car dealership network and finance company, faced a failing legacy document management system that couldn’t keep up with rapid growth: roughly 150 dealerships submitting 40–50 page deal packets, about 9,000 new dealer-application pages monthly, and thousands of daily customer letters. To eliminate slow retrieval, limited capture flexibility, and heavy manual processing, DriveTime turned to Square 9 Softworks and its GlobalSearch suite (with GlobalCapture and KeyFree Indexing) to modernize underwriting, capture, and document storage.
Square 9 Softworks implemented GlobalSearch and GlobalCapture with KeyFree Indexing and barcode recognition to automate batch capture, indexing, and retrieval; document retrieval dropped from five minutes to as little as five seconds, 250 vehicle titles can now be scanned in about five minutes (versus ~8 hours previously), and deal fundings have nearly tripled. The deployment saved an estimated $7,800 a year in photocopying, $9,600 in supplies, repurposed about 520 staff hours annually, eliminated four seasonal hires, reduced paper use by 500+ pages weekly, and streamlined workflows across underwriting, finance and accounting.
