Public Advocacy Organization Saves Days of Labor with AI

Retired Public Employees Council of Washington is a legislative advocacy organization representing more than 13,000 public-sector retirees that had decades of paper accounting records in bankers’ boxes, legally required documents, and a manual, time-consuming accounts payable process. Faced with risk of flood, fire, theft and slow audit retrieval, the organization sought a searchable, archival system without adding new infrastructure. After evaluating options, they chose Square 9 Softworks’ cloud-based capture solution.

Square 9 Softworks implemented its GlobalCapture platform with AI-assisted capture (TransformAI), using RPEC’s existing Sharp copier so no new servers or dedicated workstations were required. The solution automates classification and routing of invoices into an archive integrated with QuickBooks, freeing office space, speeding document retrieval, and reducing manual labor. While exact metrics are still being collected, RPEC estimates the change will save hours, if not days, of work compared with previous proposals, and staff cite easy adoption and strong support from Square 9 Softworks.
