How BSG broke away from paper expenses

BSG (British Society of Gastroenterology) is a UK not‑for‑profit membership society that was struggling with hundreds of paper expense claims, shared credit cards with rigid limits, and slow, manual approval processes that didn’t suit its distributed volunteers and staff. To modernise expense management, BSG adopted Spendesk’s solution — smart/virtual company cards and digitised expense workflows with Xero integration.

Spendesk rolled out smart company cards with flexible limits, an electronic approval flow and instant, digitised records synced to Xero, giving BSG real‑time visibility and a clear audit trail. The change moved roughly 1,500 annual claims into the app, supplied 10 team cards, saved about one day of admin per month, sped up reimbursements and travel booking, reduced errors, and created a single source for organisation spend data — all managed through Spendesk.
