York Region District School Board (YRDSB), the third-largest school board in Ontario with 123,000+ students across 210 schools and a $1.4B operational budget, faced a legacy finance system (BAS2000) that couldn’t scale to meet growth. Manual, paper-based purchasing for low-dollar items, limited reporting visibility, and time-consuming batch processes created operational bottlenecks. To modernize finance and procurement, YRDSB selected Sparkrock and implemented the Sparkrock K12 Finance Solution starting in 2009.
Sparkrock delivered a K12 finance and P2P solution (including an integration package for the eBuy Online Shopping platform) that brought real-time data, robust reporting (Spend by Buyer, Spend by Vendor, Cycle Time), Excel import/export, GL integration for in-system bank reconciliations, automated HST reporting, and streamlined year-end close. The Sparkrock solution turned reporting from “zero” to on-demand insight, eliminated redundant annual rekeying, saved staff up to an hour on manual entry tasks, and improved transparency and responsiveness across the board.
