Mount Royal University Improves Preventive Maintenance Processes and Reporting

Mount Royal University, one of Canada’s top destinations for undergraduate studies, was managing facilities data in a piecemeal system that no longer met its needs. Requests came in by phone and email, preventive maintenance schedules were handled manually, and reports could not easily combine space data, AutoCAD drawings, and updates from campus projects. The university turned to SpaceIQ’s Archibus after its old database crashed during the switch in 2012, though no content was lost.

With SpaceIQ’s Archibus On-Demand module and related facilities tools, Mount Royal University centralized maintenance requests, added automated notifications, and gave staff visibility into tickets to reduce duplicate submissions. The platform also improved preventive maintenance planning, reporting, asset lifecycle tracking, and budgeting support. Work orders increased from 3,000 in 2012 to 14,000-plus a year, and the university later implemented Archibus V24.1, including the Health and Safety module.
