How Data-Driven Software Transformed the Management of 300+ Philadelphia School Buildings

The School District of Philadelphia — the 8th largest district in the U.S. with roughly 130,000 students, 300+ buildings, 29M ft² and hundreds of maintenance staff — faced outdated processes and fragmented data that hindered maintenance, operations, capital programs, food services, transportation and environmental departments. To centralize operations and create a single source of clean building and equipment data, the district engaged SpaceIQ and implemented the Archibus IWMS platform.

SpaceIQ cleaned and digitized records, consolidated data and deployed 22 Archibus applications (including On‑Demand Work, Preventative Maintenance and Reservations), plus mobile phones and the Archibus Mobile Framework so staff and educators could report and self‑assign work in the field. The result: a top‑down view of assets and costs, faster response times, elimination of an eight‑month data backlog, seamless public-facing space reservations and 50,000–60,000 work orders sent electronically each year — significantly improving tracking, resource allocation and community access.
