Saving Six Days a Month on Admin Made Room for Charity

Making Space, a Cheshire‑based not‑for‑profit providing adult health and social care across the UK, struggled with slow, paper‑heavy spend processes: cheques for petty cash, sprawling credit‑card statements, manual receipt scanning and spreadsheet expense claims that together cost the finance team around six days a month in reconciliation. Seeking a more flexible, transparent way to fund frontline staff — especially during the COVID‑19 PPE scramble — they trialled and adopted the Soldo platform and prepaid cards.

Soldo replaced petty cash and cumbersome card workflows with 106 prepaid Soldo cards, mobile apps and a web console that let finance set limits, top up cards instantly, capture receipts in real time and export transactions to accounting software. The change cut reconciliation from six days to half a day a month, removed spreadsheet and receipt chasing, improved accuracy and budget visibility, and gave Making Space the agility to buy PPE and respond quickly during the crisis.
