The National Museum of World Cultures makes reporting and communication simple across its disparate team

The National Museum of World Cultures, formed by the 2014 merger of the Tropenmuseum, Museum Volkenkunde and the Africa Museum, manages a vast, multi-site collection and a diverse workforce of staff and volunteers across the Netherlands. With projects, exhibitions and teams spread across locations and varying technical skills, the museum needed standardised project-management processes and clearer communication tools that were flexible enough for curators, technical crews and remote workers.

Working with Smartsheet and local partner 4EF, the museum adopted colour-coded templates, view options and targeted training to make planning intuitive and consistent. The new system—integrated with Teams, SharePoint and Power BI—gave staff clear visibility of exhibition tasks via traffic-light KPIs, simplified work allocation, reduced errors and improved cross-team communication, enabling faster exhibition turnarounds and a more unified organisation.
