The Scout Association, the UK’s largest youth organisation, equips half a million young people each week with skills for life through volunteer-led outdoor programmes. It needed an easy-to-roll-out, cost-effective platform that would act as a central source of truth for a diverse project portfolio, enable consistent reporting and require minimal training for time‑poor volunteers.

After a three-month pilot the Scouts adopted Smartsheet, using templates, Sheet Summary views and automation to standardise processes, improve collaboration with volunteers and provide portfolio-level visibility. The outcome: monthly reporting fell from a week to a few hours, licences grew from 25 to 130, HR and recruitment workflows were digitised, and teams gained clearer accountability and the ability to scale programmes more effectively.
