Smartsheet helps NHS Tayside respond to COVID-19 pandemic by tracking protective equipment supplies and fitting

NHS Tayside, one of Scotland’s regional health boards serving more than 30,000 staff, needed a fast way to manage PPE supplies and ensure masks were correctly fitted during the COVID‑19 surge. Working with Smarter Business Processes and using Smartsheet, the team faced the challenge of rapidly tracking inventory across many sites and maintaining legally required records of face‑fit tester training and mask fit outcomes.

In under two weeks they expanded a Smartsheet solution to monitor 28 PPE types, record which mask styles fit or don’t fit individual workers, and track face‑fit tester qualifications with color‑coded alerts. Daily entry of over 4,500 data points, automated alerts and dashboards gave ward‑, facility‑ and regional‑level visibility, helped avoid overstocking unusable masks, sped up replenishment decisions, and was adopted by neighboring NHS Highland.
