Lutheran Disability Services, a South Australian not-for-profit providing 24/7 support for people with intellectual disabilities, faced challenges capturing and recovering transport costs and managing frequent last‑minute roster changes. Complex, shifting government funding rules plus inconsistent manual processes and spreadsheets made accurate billing and client communication difficult and harmed the organisation’s bottom line.
Working with AC Consulting, LDS implemented Smartsheet forms, dashboards, mobile access and automated workflows to capture trip and roster data in real time. The new system made costs defensible by data, streamlined approvals, reduced errors and phone-based updates, improved invoice accuracy and customer satisfaction, and recovered $170,000 in transport costs.
