Hotopp is a 17‑person creative studio that designs, fabricates, and installs scenic features for large live events and broadcasts—most recently for the NHL Winter Classic at T‑Mobile Park. As projects grew in complexity (managing in‑house fabrication, vendor fleets, client checkpoints, and real‑time budget tracking), Hotopp’s spreadsheets and file folders proved inadequate, creating inefficiencies and client friction.
In 2022 Hotopp standardized on Smartsheet—using templates, multi‑sheet project views, and shared reports—to give staff and clients real‑time visibility into milestones, estimates, and actuals. The change cut meeting prep and review time from hours to minutes, improved proactive financial management, reduced client service friction (allowing account managers to answer questions immediately), and helped drive faster growth and a clearer competitive advantage.
