California's Department of Child Support Services (DCSS) faced major inefficiencies with its manual "Red Folder" process for executive document review and approval. This paper-based system, which required up to 90 days to collect physical signatures, lacked any tracking mechanism and created significant delays. Needing to modernize and faced with the challenges of remote work during the COVID-19 pandemic, DCSS turned to SimpliGov's cloud-based workflow automation and online forms platform to digitize the process.
By implementing the SimpliGov platform, DCSS automated its approval workflow, enabling simultaneous reviews rather than sequential ones and providing full digital visibility into a document's status. The solution drastically reduced the approval timeframe from up to 90 days to just 10 days, far exceeding the department's initial goals.
