Levitate Media, a Boca Raton–based video production company that manages 500+ full-time and freelance associates across diverse remote projects, struggled with slow, manual onboarding and workforce management. Coordinating freelancer details and agreements by email, manually entering profiles into Salesforce, and tracking invoices on spreadsheets made sourcing, onboarding and paying talent inefficient. To solve this, Levitate turned to Shortlist and its talent-management platform to streamline those processes.

Shortlist implemented a self-onboarding flow, candidate profiles, email-calendar interview booking and a private, searchable talent pool with filters, ratings and document/payment storage. The result: much of the back-and-forth and paperwork was eliminated, key contractor data and NDAs are centralized (no constant Salesforce entry), and Levitate can quickly source and scale remote crews by location or skillset. Shortlist’s platform improved hiring speed, visibility into payment schedules and freed operations staff to focus on higher-value work.
