Milton, one of Canada's fastest-growing municipalities, struggled with runaway content across multiple repositories—more than 5 TB and over 4 million files—making it hard for staff to find information, respond to FOI requests, and meet records‑management and privacy obligations. To solve this without disruptive migrations, Milton engaged Shinydocs, deploying Shinydocs Pro capabilities and a Milton‑branded DocuSearch federated search to improve staff efficiency while preserving existing workflows.
Shinydocs implemented in‑place automation to find, classify, clean, and enrich files and launched DocuSearch for staff access. Shinydocs scanned over 4 million files, identified 91,000 defensibly deletable items, flagged ~1 million duplicate files (25%), classified 100k+ records in‑place and tagged nearly 2 million files—across 5 TB of content—resulting in faster FOI responses, reduced storage and risk, and compliance with provincial records‑management rules, all without moving files or disrupting staff.
