Linking cloud workflows and SAP HANA on SAP BTP with on-premise employee self-service travel management workflows

Saudi Electricity Company (SEC), the Kingdom’s primary electricity provider with over 34,000 employees, faced a business-process gap after migrating training and events management to SAP SuccessFactors Learning. On‑premise employee self-service (ESS) travel approvals were failing because learning data held on SAP HANA in SAP BTP was not linked to the SAP ECC travel workflows, impacting more than 700 travel requests daily. SEC’s two core challenges were to bring learning records from SAP BTP into the ESS travel workflow and to enable auto-approval of travel steps when corresponding SAP BTP workflows had already been approved.

SEC implemented an integration that exposes SAP HANA data in SAP BTP as an XSOData API, consumed by SAP ECC via an RFC and supported by SAP Cloud Integration (CPI), enabling real-time display of training details in travel workflows and auto-approval for approved BTP steps. The live proof-of-concept has reduced rejections to negligible levels, increased approval productivity to 100%, and benefits all 34K employees; the roadmap includes migrating to Cloud Foundry, using SAP Datasphere and CAP-M OData services and further automation with SAP Build Process Automation.
