The Warren Clinic, a 450-provider employed medical group within the Saint Francis Health System and the vaccine hub for Tulsa and seven surrounding counties, needed a fast, organized way to schedule and communicate millions of COVID‑19 vaccine appointments while minimizing wasted doses. To meet this challenge they partnered with Relatient and integrated Relatient’s messaging and Broadcast Messenger with a new Epic build to support high-volume appointment workflows and patient outreach.
Relatient’s solution fed Epic’s automatic second‑dose appointment build into its appointment reminders, added a dedicated COVID‑19 vaccine department to send maps/directions to drive‑thru clinics, and provided mass-alert capabilities for clinic disruptions. The result: streamlined scheduling, easier backfill of openings, and minimal wasted doses—Relatient’s reminders and algorithm helped The Warren Clinic sustain significantly lower no‑shows, building on a prior implementation that reduced their patient no‑show rate by 52%.
