Fife Council manages 17,000 archive boxes with RecordPoint

Fife Council, the local authority for the Fife area of Scotland, faced a challenge in managing 17,000 paper archive boxes stored across multiple dispersed locations. To modernize its content management and improve governance, the council turned to its existing vendor, RecordPoint, seeking a unified solution for both its physical and digital records on a single platform.

RecordPoint implemented a practical, two-phase solution using its on-premises software integrated with SharePoint. The team first focused on listing entire archive boxes in the system and tracking them with barcodes, avoiding the costly process of individually labeling legacy records. This approach provided Fife Council with improved accessibility, security, and governance. The council has since moved over 6,000 boxes to a new central facility managed in RecordPoint, achieving key compliance with statutory requirements like the Public Records (Scotland) Act and saving time and money.
