How QuickBooks Time helps nonprofits focus on their missions

Mana Services is a nonprofit that helps disadvantaged youth and young adults—providing housing, counseling, long-term residential habilitation and wraparound support—but as the organization grew it struggled with time-consuming, error-prone payroll and time tracking. Founders Jennifer and Harland Ah You, not business specialists, spent entire workdays processing payroll for multiple houses and staff, which pulled them away from direct services.

By adopting ADP for payroll and QuickBooks Time for time tracking, Mana centralized staff visibility and streamlined processes—using the Who’s Working view to see on-shift staff across sites and timesheet notes/odometer entries to reimburse mileage. The change cut payroll processing to a couple of hours for roughly 30 employees and 15 contractors, improved operational oversight, and freed leadership to focus on client services.
