VIP Medical, a CLADD Group subsidiary and global durable medical equipment provider, outgrew a Google Sheet CRM that supported 200–300 daily patient intakes. Dependence on web forms and spreadsheets created fragile workflows, caused manual bottlenecks (including hundreds of hours spent on insurance benefit calls) and limited visibility across operations.

VIP Medical built a Quick Base ecosystem with API integrations (Twilio, insurance validation, prescription imports, OCR, QuickBooks/Brightree) and custom apps for intake, barcode scanning and billing automation. The result: staffing for benefits verification fell from about 60 to 15 people, sales increased fourfold, fulfillment errors dropped to zero, billing cycles accelerated, and HIPAA-compliant recordkeeping and reporting gave the company greater operational visibility.
