Engaging Schools is a nonprofit that provides professional development and resources to about 3,600 educators annually. Managing hundreds of school contracts with spreadsheets, email, and an overly complex Microsoft Access system left staff with no visibility into contract status or communications, costly report generation, and too much time spent on paperwork instead of nurturing client relationships.
By building a centralized contract-management app on Quick Base, Engaging Schools gained web-accessible storage, workflow tracking, consultant assignment logs, and on-demand reporting. The change reclaimed an estimated 25–30 staff hours per week, cut reporting costs and delays, improved revenue and opportunity visibility, and freed staff to focus on program development and client engagement.
