USF Tampa General Physicians, a large academic medical group with 1,200 providers, 500 residents and fellows, 40 specialties, and more than 500 exam rooms across six locations, needed a better way to manage clinical space. Their exam room allocation process was decentralized and based on spreadsheets, whiteboards, and perception rather than accurate data, making it difficult to see actual room utilization or confidently decide whether more space was really needed. With QGenda, USF Tampa General Physicians gained a trusted, real-time view of exam room usage tied to provider schedules and patient appointments, including integration with Epic. This enabled a Space Governance Committee to make more informed, multidisciplinary decisions about room allocation, provider onboarding, and underperforming areas, while supporting stronger change management and user adoption. The organization reported steady progress toward its 80%+ exam room utilization goal and created standardized processes and governance to improve operational efficiency and space optimization.
