Regulatory Audits Leave Nonprofit Agency Burdened with Paper Records Storage

ETHRA (East Tennessee Human Resource Agency) is a 425-employee nonprofit serving 16 counties that must retain detailed records for frequent federal, state and local audits. Their Accounts Payable team was bogged down storing and manually matching physical invoices and checks (they write over 2,000 checks a month and were sometimes asked to produce 800 checks for a single audit), and their children’s nutrition program relied on time-consuming bubble-sheet tallying. To address this, ETHRA evaluated and implemented PSIGEN Software’s capture solution, PSIcapture.

PSIGEN Software’s PSIcapture was integrated with ETHRA’s M‑Files repository and deployed with auto-import, OMR and a purchased Classification module to automate capture and indexing. The solution lets departments scan to designated folders, auto-index invoices and checks (M‑Files then matches checks to invoices), and eliminates manual OMR tallying for meal counts—dramatically cutting paper storage, reducing time spent retrieving files for audits, and increasing staff productivity. ETHRA is expanding the PSIcapture rollout across the agency.
