Machol & Johannes, LLC, a Denver-based debt collection law firm with 150 professionals, was overwhelmed by up to 100,000 incoming documents per month across 81 form types that required manual scanning and indexing. Locating an important eight-digit client number that appeared in different places on each form created a slow, error-prone workflow and a growing backlog, so the firm turned to PSIGEN Software and its PSIcapture solution to automate capture and indexing.

PSIGEN Software implemented a single concurrent PSIcapture license with a Canon DR9050 scanner, using PSIcapture’s Advanced Data Extraction (ADE) and OCR to locate and extract the eight-digit client number, automatically map it to index fields, convert documents to searchable PDFs, and migrate them to Machol & Johannes’ database. The automated process eliminated the backlog, increased throughput (handling the same high volume of documents), and achieves over 99% indexing accuracy, freeing staff to focus on higher-value work and improving overall turnaround.
