The UK Department for Education (DfE) needed to replace its complex, costly ECHO/Meridio EDRMS platform, which held more than 7 million content items and over 700,000 scanned images. DfE also faced inconsistent metadata, oversized folder structures, and a lack of searchable digital content. Proventeq’s Migration Accelerator was used to support the move to SharePoint Online.

Proventeq delivered a tailored five-stage migration covering discovery and analysis, information architecture design, pilot migration, OCR conversion of scanned files, and full-fidelity live migration. The project migrated 7.3 million items, made previously nonsearchable scans discoverable through OCR, and improved governance, search, and productivity in SharePoint Online. The shift is expected to save DfE about £170,000 per year in platform costs.
