AvalonBay Communities - Customer Case Study

AvalonBay Communities, one of the largest apartment owners in the United States, needed to centralize content storage and simplify eDiscovery by migrating more than 120 million emails and documents from IBM FileNet P8 to SharePoint Online. The project was complicated by proprietary email formats, source-system concurrency limits, and the need to distribute content across multiple site collections and libraries. AvalonBay worked with Proventeq, using Migration Accelerator and related discovery and analysis tools, to tackle the migration.

Proventeq designed and delivered a best-practice migration approach covering discovery, pilot migration, security and compliance remapping, and full-fidelity content transfer with audit trails. The result was a high-throughput migration of more than 1 million items per day, including 1.8 million emails and documents migrated daily at peak, while also reducing storage by 20TB and saving AvalonBay about $100,000 per year in licensing and infrastructure costs.
