Barber National Institute, founded in 1952, provides community-based education, residential, vocational and behavioral health services to more than 6,200 people annually across Pennsylvania. As demand and program complexity grew, reliance on complex Excel spreadsheets made budgeting, multi-tier allocations and capital and personnel planning slow and error-prone, limiting the finance team’s ability to evaluate new program profitability and hold managers accountable.

Barber implemented Prophix—integrated with Microsoft Dynamics GP, Kronos and Carelogic—to automate budgeting, detailed personnel and revenue planning, scenario forecasting and reporting dashboards. The change cut profitability scenario preparation from days to hours, reduced a weekly productivity report from one week to 15 minutes, saved hundreds of staff hours during budget season (e.g., 360 hours for the budget manager, 540 hours for four accountants, 160 hours for program/admin managers), and delivered more timely, trustworthy forecasts and actionable visibility into cost-per-unit and reimbursement planning.
