Vermont State Archives & Records Administration automates preservation across 60+ agencies with Preservica

The Vermont State Archives & Records Administration (VSARA) faced the challenge of preserving permanent government records created across over 60 independent agencies within a single, shared Microsoft 365 tenant. Their goals were to automate digital preservation workflows directly within Microsoft 365 to ensure security, manage scale, and capture records earlier in their lifecycle, all while the tenant was managed by a separate state agency. To address this, they turned to Preservica and its Preserve365 service.

The solution involved implementing Preservica's Preserve365, which acts as middleware to automate the transfer and in-place preservation of records within Microsoft 365 SharePoint. This allowed VSARA to streamline compliance, reduce manual effort and IT burden by sunsetting legacy infrastructure, and manage preservation at scale without disrupting agency operations. The integration maximized the state's Microsoft investment by embedding records management into existing systems, ensuring long-term access and metadata integrity for critical public records.
