The Philadelphia Museum of Art faced a growing challenge as its institutional records became largely electronic—emails, digital documents, web content and audiovisual files—that its archives were not set up to collect or preserve. With limited in‑house technical capacity and a desire to avoid complex open‑source stacks, the Museum needed an easy, reliable way to capture and protect electronic records so it wouldn’t lose key parts of its institutional memory.

The Museum implemented Preservica Cloud Edition, a hosted digital preservation system with a browser‑based, drag‑and‑drop interface and built‑in web crawling (Heritrix), enabling the team to ingest web archives, email accounts, audiovisuals and digitization deliverables. The solution can be run by a single digital archivist without heavy IT support, protects prior digitization investments, improves future discoverability, and has strengthened the Museum’s grant applications thanks to demonstrable preservation practices and responsive vendor support.
