King’s College London (KCL) is a top-20 global university with some 26,500 students and an Estates & Facilities operation that maintains 4.3 million sq ft across 130 buildings. The 400-strong team lacked clear records of reactive work, had limited measurement of preventative maintenance, and were not using their Planon system to its full potential, leaving control, capacity planning and service delivery in need of urgent improvement.
KCL built internal capability—establishing a Planon helpdesk, structured training and Planon Universe as a single source of truth—and rolled out Planon Mobile Field Services to engineers. Within months users doubled and the college cut its maintenance backlog by 50% in three months, shifted from reactive to preventive maintenance, improved work allocation and SLA performance, and delivered faster communication and better customer feedback.
